Background
Elizabeth Buckley School is an independent K-6 school located at the Cridge Centre for the Family in Victoria, B.C. EBS offers an exceptional education based on the B.C. curriculum, and enrichment programs to enhance students' learning opportunities, including STEaM - a focus on science, technology, engineering, mathematics - and an enriched arts curriculum. At EBS, experienced TRB-certified Teachers and skilled Education Assistants work to support each student on his or her individual journey to success. Low student to teacher ratios ensure that each child's unique needs are addressed within a secure, nurturing environment. The school provides a solid educational foundation and nurtures a life-long love of learning. In order to support the changes and growth at EBS, an Office Manager position has been created. The Office Manager will be in charge of programs, budgets, technology, and grant writing, along with other duties.

Job Description
The Office Manager is a full-time position, 8:00am-4:00pm Monday - Friday, with statutory holidays off. Three weeks of paid vacation are included. The salary is $36,720 per year. This position is a one-year contract with the option of renewal upon mutual agreement of both the Office Manager and EBS.

Duties
Running the after-school and summer camp programs:

  • Help hire and train staff to run the after-school and summer camp programs
  • Oversee the registration, advertising, and enrollments of these two programs
  • Arrange field trips, visits, and so on, as required
  • Serve as the contact person for parents and the public
  • Ensure the timely payment of staff
  • Maintain records confidentially and accurately
  • Regularly update the website
  • Receive and process payments; provide invoices
Serving as the main contact for parents, substitute teachers, teachers, EAs, and the public:
  • Sign in substitute teachers and EAs; provide orientation and monitor their hours
  • Schedule appointments for staff and parents
  • Respond to inquiries from the public
  • Maintain the school's website to reflect up-to-date and accurate information, including the events calendar
Overseeing budgets and paper work:
  • Monitor and track the budget as required
  • Fill in and track camp forms and funding requests
  • Inform staff and Board as appropriate regarding funding requests and answers
  • Provide upon request current, accurate budget numbers
  • Track payments, provide receipts, and process requests for payment
  • Process payroll for the school and program staff
  • Process banking as needed
Engage in technical work:
  • Update computers on a regular basis
  • Use the internet to find requested information regarding venues and activities
  • Use software to make spreadsheets, tables, and reports
  • Update websites with current information
  • Use social media to connect with the EBS community and the public
Provide administrative support:
  • Oversee record-keeping
  • Order equipment and supplies as necessary
  • Schedule and confirm IEP meetings, parent-teacher interviews; reschedule when needed
  • Assist with the organization of school celebrations in December and June
  • Assist with admissions of new students
  • Assist with preparations of the school for the fall as needed
  • Provide up-to-date registration numbers as needed
  • Pay attention to privacy issues regarding staff, student, and family information
  • Ensure secure document storage
Writing, grants writing, and reporting:
  • Cyclical fall and spring reporting to the Ministry of Education
  • Write and edit the monthly school newsletter
  • Write grant applications; track application deadlines and collect relevant information

This position requires the following:
  • Proficiency with the Microsoft Office suite, including Excel
  • Experience with basic accounting and budgets
  • An ability to write effectively, efficiently, and persuasively
  • Some supervisory experience
  • Comfort and facility with technology, including quick learning of various software packages, social media, and basic graphic design
Preference will be given to candidates who:
  • Have a class 4 drivers' license, Standard First Aid and CPR C
  • Demonstrate experience with grants writing
  • Have experience with payroll
  • Have experience with event management
Contract summary
  • The expected start date of this one-year contract is August 29th, 2013. The contract is renewable upon mutual consent.
  • The salary is $36,720 per year.
  • There is an extended medical and dental benefits program.
  • A recent criminal record check is required.
